LED Conference Room Lighting for Every Part of the Room
Most conference rooms need more than one fixture type. A single layer of overhead light produces a flat room that photographs badly and leaves the presentation wall dim. Specifying an ambient layer, an accent or wall-wash layer, and the controls to move between them is what makes one room work for a board meeting, a video call, and a training session.

The Room Has to Work at Two Different Light Levels
This is the constraint that shapes every other decision. People need roughly 30 to 50 foot-candles on the table to read documents and take notes comfortably, but a projected image or a wall display needs the ambient level well below that to hold contrast. A room lit at one fixed level will always be wrong for one of its two jobs.
The practical answer is to design for the higher level and dim down, since you cannot dim above what the fixtures deliver. That means dimmable drivers throughout and, ideally, separate control zones so the fixtures nearest the screen can come down further than the ones over the table.
Hybrid Meetings Changed the Specification
Once a room is used for video calls, the camera becomes a second and stricter client. Three things matter that would not otherwise:
- Light on faces, not just on the table. Cameras care about vertical illuminance. Downlights placed directly above seated participants throw shadows into eye sockets and under the chin, which reads as unflattering on screen no matter how bright the room measures. Wall wash, indirect uplight from suspended fixtures, pendants that sit nearer eye level, or fixtures positioned in front of participants rather than over them all help.
- Color rendering. A CRI of 90 or higher renders skin tones accurately. Lower-CRI light makes people look gray or sallow on camera in a way that no amount of software correction fully fixes.
- Flicker-free drivers. Inexpensive drivers produce ripple that a camera sensor picks up as banding or a rolling bar, invisible to everyone sitting in the room. Ask about flicker performance before ordering, and test one fixture on the actual camera.
Hold one color temperature across the whole room. Mixing sources within a single camera frame produces a color cast the eye forgives and the sensor does not.
Keep Light Off the Screens
Veiling reflections on a display or a laptop screen are the most common complaint in a conference room, and they are a placement problem rather than an output problem. Fixtures positioned where they can reflect off a wall-mounted display will wash out the image at exactly the viewing angle people sit at.
Fixtures with controlled luminance and good shielding matter here, and the display wall itself is usually better served by keeping general lighting off it and using a separate, dimmable accent layer. If the room has a whiteboard, treat it the same way and light it deliberately with wall-wash rather than hoping the ambient layer reaches it evenly.
Ceiling Type Narrows the Fixture List
- Suspended acoustic grid is the most common conference room ceiling. Flat panels and troffers in 2x2 and 2x4 sizes drop into the existing grid with no ceiling work.
- Drywall or hard ceilings call for recessed downlights, surface-mounted cylinders, or pendants over the table, which give a cleaner look at the cost of a more involved installation.
- Exposed or high ceilings suit suspended linear fixtures, which also let you add an indirect uplight component that a recessed fixture cannot provide.
Coordinate fixture layout with the AV plan and any acoustic treatment before ordering. Ceiling speakers, projector mounts, air diffusers, and acoustic panels all compete for the same grid, and lighting is usually the element asked to move.
Color Temperature
3500K to 4000K suits most conference rooms. The warmer end reads as more comfortable for long meetings and executive spaces, while 4000K feels more alert and pairs well with training rooms and open-plan offices next door. Match the color temperature to the adjacent office areas so the transition through the building looks intentional, and keep it consistent within the room itself.
Controls Are What Make the Room Usable
Conference rooms are occupied in short bursts by people who did not attend the commissioning meeting. Controls that require interpretation get ignored, and the room ends up permanently at full output.
- Scene presets rather than a bank of sliders. Meeting, presentation, video call, and cleaning cover almost every use.
- Occupancy sensors, since conference rooms sit empty a large share of the working day and this is where the energy savings actually come from.
- Daylight harvesting where the room has exterior glazing, which also helps balance window light against fixture output during daytime calls.
- 0-10V dimming is the commercial standard. Verify driver and dimmer compatibility before ordering, and check the low end of the dimming range, since a driver rated to 10% behaves very differently from one rated to 1% when the lights need to go down for a presentation.
